Terms Conditions

Welcome to Essex Chauffeurs. These Terms & Conditions govern your use of our website, https://essexchauffeurs.co.uk, and any chauffeur services booked with us. By making a booking, using our website or travelling with Essex Chauffeurs, you confirm that you have read, understood and accepted these terms.

1. Company Information

Essex Chauffeurs is operated by Essex Chauffeurs Ltd, providing professional chauffeur services throughout Essex, London, Kent and other UK locations by arrangement.

2. Bookings and Quotations

  • All bookings are subject to vehicle and chauffeur availability.
  • A booking is not confirmed until Essex Chauffeurs has issued written confirmation by email, WhatsApp, text message or another agreed method.
  • Customers must provide accurate pickup, destination, passenger, luggage, flight and contact information.
  • Quotations are based on the journey details provided at the time of enquiry.
  • Additional stops, waiting time, diversions or changes may result in an additional charge.
  • Unless otherwise stated, quotations are valid for 24 hours and may be withdrawn before a booking is confirmed.
  • Online enquiries and quotation requests do not automatically constitute a confirmed booking.
  • The person making the booking is responsible for ensuring that all passengers are aware of and comply with these terms.

3. Prices and Payment

  • All prices are quoted in pounds sterling (£).
  • The confirmed price will include the journey and any charges specifically stated in the quotation.
  • Airport parking, tolls, congestion charges, additional waiting time and other expenses will be included only where stated in the confirmed quotation.
  • Full payment or an agreed deposit may be required to secure a booking.
  • Any outstanding balance must be paid by the deadline shown on the booking confirmation.
  • We accept approved debit cards, credit cards, payment links and bank transfers.
  • A booking may be cancelled if payment is not received by the agreed deadline.
  • Additional charges incurred during the service must be paid when requested.
  • Corporate account customers may be invoiced separately under their agreed account terms.

4. Cancellations and Refunds

Unless different cancellation terms are stated on your booking confirmation:

  • Cancellations made more than 24 hours before the scheduled pickup time will receive a full refund of the journey price.
  • Cancellations made within 24 hours of the scheduled pickup time may be charged at 100% of the booking price.
  • Cancellations made within 2 hours of pickup, or failure to attend without notice, will be treated as a no-show and charged at 100%.
  • Any non-refundable costs already incurred on the customer’s behalf may be deducted from a refund.
  • Special-event, wedding, multiple-vehicle and subcontracted bookings may have different cancellation conditions. These will be explained before confirmation.
  • Approved refunds will normally be processed within 5–10 working days. Bank processing times may vary.
  • Where we cancel a booking and cannot offer a suitable alternative, payments made for the affected service will be refunded in full.

Nothing in these terms affects your statutory rights.

5. Changes to a Booking

  • Changes to pickup times, addresses, destinations, passenger numbers, luggage or flight details should be provided as early as possible.
  • We will make reasonable efforts to accommodate changes but cannot guarantee availability.
  • Material changes may result in a revised price.
  • A change of date or time may be treated as a cancellation and new booking where the originally booked chauffeur or vehicle is unavailable.
  • Route changes, extra stops and diversions requested after the journey begins may incur additional charges.

6. Waiting Time

Airport collections

  • Up to 60 minutes of complimentary waiting time is allowed from the confirmed flight landing time, unless otherwise stated.
  • We monitor flights where accurate flight information has been supplied.
  • If a passenger expects to be delayed in immigration, baggage reclaim or customs, they must contact us as soon as reasonably possible.
  • Additional waiting time may be charged after the complimentary period.

Non-airport collections

  • A complimentary grace period of up to 15 minutes applies to standard non-airport pickups.
  • After the grace period, waiting charges may apply according to the vehicle category and booking type.
  • If we cannot contact the passenger after making reasonable attempts, the booking may be treated as a no-show.

Complimentary waiting periods may differ for seaports, train stations, events, weddings or hourly bookings and will be stated when applicable.

7. Airport and Flight Bookings

  • Customers must provide the correct flight number, airport, terminal, arrival date and passenger contact number.
  • When valid flight information is supplied, we will make reasonable efforts to monitor the flight and adjust collection arrangements for early or delayed arrivals.
  • Essex Chauffeurs is not responsible for problems caused by incorrect, incomplete or outdated flight information.
  • Where a flight is cancelled or significantly delayed, customers should contact us promptly.
  • Major changes may be subject to chauffeur availability and additional charges.
  • Meet-and-greet instructions will be provided where that service is included.

8. Vehicles

  • We will make reasonable efforts to provide the booked vehicle category.
  • Vehicle photographs on our website and marketing materials are illustrative. Colour, registration, specification and model may vary.
  • Where the requested vehicle becomes unavailable because of breakdown, accident, safety concerns or circumstances beyond our reasonable control, we may provide a suitable alternative vehicle.
  • The replacement may be operated by an approved partner chauffeur company.
  • Passenger and luggage limits must not exceed the safe or legal capacity of the vehicle.
  • We may refuse luggage or items that are unsafe, unlawful, excessively large or likely to damage the vehicle.
  • Customers should provide accurate luggage information when booking to ensure a suitable vehicle is arranged.

9. Our Responsibilities

We will make reasonable efforts to:

  • Provide a clean, properly maintained and appropriately licensed vehicle.
  • Provide a professional, licensed and suitably vetted chauffeur.
  • Arrive punctually and plan journeys using available traffic information.
  • Monitor flights where accurate flight details have been supplied.
  • Provide meet-and-greet services where included in the booking.
  • Carry the insurance required for the chauffeur service being provided.
  • Provide complimentary bottled water and other onboard amenities where available.

Complimentary amenities such as Wi-Fi, charging cables or refreshments are subject to availability. Their temporary unavailability does not entitle the customer to a refund.

10. Passenger Responsibilities

Passengers must:

  • Provide accurate booking and contact details.
  • Be ready at the agreed pickup time.
  • Follow all reasonable safety instructions given by the chauffeur.
  • Wear seatbelts whenever required by law.
  • Treat the chauffeur, vehicle and other passengers respectfully.
  • Ensure that children are properly supervised.
  • Inform us of any accessibility requirements, child-seat requirements or other special needs before booking.
  • Check that all belongings have been removed from the vehicle at the end of the journey.

Smoking and vaping are prohibited in all vehicles.

Illegal drugs, unlawful activity, threatening behaviour, violence, harassment and conduct that could endanger the chauffeur, passengers, vehicle or the public are strictly prohibited.

Alcohol may not be consumed in a vehicle unless Essex Chauffeurs has given prior permission and its consumption is lawful and safe.

11. Children and Child Seats

  • Customers must tell us when children will be travelling and provide their ages and any relevant requirements.
  • Child seats may be available when requested in advance, subject to availability.
  • The responsible adult must check that any requested child seat is suitable and ensure the child is correctly secured.
  • Customers may provide their own legally compliant child seat.
  • The parent, guardian or accompanying responsible adult remains responsible for the child throughout the journey.

12. Passenger Conduct and Refusal of Service

The chauffeur may refuse to begin or continue a journey where a passenger:

  • Behaves aggressively, abusively or dangerously.
  • Appears likely to damage or soil the vehicle.
  • Carries illegal or dangerous items.
  • Exceeds the booked vehicle’s passenger or luggage capacity.
  • Refuses to follow lawful safety instructions.
  • Is so intoxicated that transporting them would create a safety risk.

Where service is refused because of passenger conduct, the journey may remain fully chargeable.

13. Damage, Cleaning and Soiling

  • The customer is responsible for damage caused to the vehicle by them or anyone travelling under their booking.
  • Reasonable repair, replacement, specialist cleaning and vehicle downtime costs may be charged.
  • A cleaning charge may apply where food, drink, sickness, smoking, excessive dirt or other soiling requires more than routine cleaning.
  • Essex Chauffeurs may provide photographs, invoices or other reasonable evidence supporting such charges.
  • Deliberate damage may be reported to the police.

14. Delays and Events Outside Our Control

We will take reasonable care when planning and operating each journey. However, we cannot guarantee arrival times where delays result from events outside our reasonable control, including:

  • Traffic congestion or road closures.
  • Accidents or emergency incidents.
  • Severe weather.
  • Flight, train or ship disruptions.
  • Police, security or government action.
  • Public demonstrations or major events.
  • Vehicle breakdowns that could not reasonably have been predicted.
  • Incorrect information supplied by the customer.

Customers are responsible for allowing sufficient travel time, particularly when travelling to airports, stations, ports, appointments or events with fixed departure times.

We will not be responsible for indirect or consequential losses, such as missed flights, accommodation costs, loss of business or loss of earnings, except where liability cannot legally be excluded.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded.

15. Lost Property

  • Passengers are responsible for their belongings.
  • Any property found in a vehicle will be stored securely for a reasonable period, normally up to 30 days.
  • Customers should contact us promptly with a clear description of the missing item and journey details.
  • Collection may be arranged by appointment.
  • Delivery, postage or courier expenses are payable by the customer.
  • Items that are perishable, unsafe, illegal or unsuitable for storage may be disposed of sooner.
  • Unclaimed items may be disposed of or donated after the storage period.

16. Subcontracted Services

We may use carefully selected licensed chauffeur operators to fulfil a booking, particularly during busy periods, for specialist vehicles or when journeys take place outside our usual operating area.

When an approved operator provides the journey, we remain responsible for administering the booking, subject to any terms clearly communicated to the customer.

17. Complaints

We aim to provide a professional and reliable service. If something is not right, please contact us as soon as possible, preferably within 48 hours of the journey.

Please include:

  • The booking name or reference.
  • The date and time of travel.
  • A description of the issue.
  • Any relevant photographs or supporting information.

We will investigate the matter and aim to respond promptly.

18. Personal Information and Privacy

Personal information is processed in accordance with our Privacy Policy and applicable UK data-protection law.

We use customer information to manage bookings, take payments, communicate journey details, provide services, handle enquiries and meet our legal obligations.

Journey information may be shared with chauffeurs, approved operators, payment providers or other service providers where reasonably necessary to fulfil a booking.

19. Website Use

  • Website content is provided for general information and may be changed without notice.
  • We take reasonable care to keep website information accurate but do not guarantee that it will always be complete, current or error-free.
  • Images, branding, text and other website content may not be copied or commercially reused without permission.
  • Website availability may occasionally be interrupted for maintenance, technical issues or circumstances outside our control.

20. Changes to These Terms

We may update these Terms & Conditions periodically.

The version in force when a booking is confirmed will normally apply to that booking unless a change is required by law or agreed with the customer.

Updated terms will be published on our website with a revised “Last updated” date.

21. Severability

If any part of these terms is found to be invalid or unenforceable, the remaining provisions will continue in effect.

A delay or failure by Essex Chauffeurs to enforce a provision does not waive our right to enforce it later.

22. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute will be subject to the jurisdiction of the courts of England and Wales, except where applicable consumer law allows a customer to bring proceedings elsewhere in the United Kingdom.
